A registered student organization that wishes to travel must receive written authorization in advance. \u00a0Student Affairs Administration or a Student Organization Adviser may deny requests if arrangements are not feasible or cannot be coordinated in a timely manner.\u00a0Please allow 2 weeks for planning Metro-Nashville travel, 4-6 weeks for planning other domestic travel, and 3-6 months for planning international travel.<\/em><\/strong><\/p>\n

International Travel<\/strong><\/h2>\n

Please review the below steps when planning international travel for your student organization.\u00a0 Student organizations that would like to travel internationally should begin the process of registering their travel 3-6 months in advance of the intended travel.<\/em><\/strong>\u00a0<\/em><\/p>\n

  1. Student leader informs adviser of their desire\/intent to travel.<\/li>\n
  2. Visit the Global Safety Website<\/a>.<\/li>\n
  3. Download and review the Global Safety Checklist For International Travel<\/a>.<\/li>\n
  4. Review and begin the Travel Risk Assessment<\/a> (VTRAC), which is required for all University sponsored international travel.<\/li>\n
  5. To begin your travel planning, the student leader should complete the Student Organization Intent To Travel Worksheet<\/a>\u00a0and present to your adviser for review.<\/li>\n
  6. Adviser approves or denies travel plans to the student leader.<\/li>\n<\/ol>\n

    1. Students will work with their adviser and the Office of Global Safety<\/a> to complete the required steps for international travel.\u00a0To learn more about registering international travel,\u00a0please visit the Office of Global Safety website.\u00a0<\/a><\/li>\n
    2. After contacting the Office of Global Safety, the student org should complete the Travel Request Form on Anchor Link.<\/a><\/li>\n
    3. Administrative Coordinator in Student Affairs reviews the Travel Purchase Request form.<\/li>\n
    4. Administrative Coordinator in Student Affairs assists the student organization by booking travel needs, facilitating the Driver Authorization Process (see below), and communicating with student leader to obtain necessary traveler information.<\/li>\n
    5. Organization adviser ensures the student organization has everything they need prior to traveling.<\/li>\n<\/ol>\n

      Domestic Travel<\/strong><\/h2>\n

      Please review the below steps when planning travel for your student organization. Please allow for 2 weeks for planning Metro-Nashville travel and 4-6 weeks for planning other domestic travel.<\/em><\/strong><\/p>\n

      1. Student leader informs adviser of their desire\/intent to travel.<\/li>\n
      2. Student leader completes the Student Organization Intent To Travel Worksheet<\/a>\u00a0and Domestic Risk Management Packet<\/a>\u00a0on behalf of the organization and presents to their adviser for review.<\/li>\n
      3. Adviser approves or denies travel plans to the student leader.<\/li>\n
      4. If purchasing is needed (transportation, hotel accommodations, etc.), student will complete the\u00a0Travel Request Form on Anchor Link<\/a>.\u00a0 When completing the form, the student will be asked to upload a pdf of the entire email thread showing approval from the organization\u2019s adviser.<\/li>\n
      5. Administrative Coordinator in Student Affairs reviews the Travel Purchase Request form.<\/li>\n
      6. Administrative Coordinator in Student Affairs assists the student organization by booking travel needs, facilitating the Driver Authorization Process (see below), and communicating with student leader to obtain necessary traveler information.<\/li>\n
      7. Organization adviser ensures the student organization has everything they need prior to traveling.<\/li>\n<\/ol>\n

         <\/p>\n

        Driver Authorization Process<\/strong><\/h2>\n

        For a student or Adviser to be authorized to drive on behalf of a student organization (either their own vehicle or a rented vehicle), they must complete the Driver Authorization Process.<\/strong><\/p>\n

        This includes the Driver Orientation Module in Oracle and the Motor Vehicle Report (MVR) Process<\/a>. The Driver Orientation Module can be found on Oracle under \u201cLearning\u201d and typing in “Driving Safely” or \u201cDriver Orientation\u201d.\u00a0 Please review the MVR Process as the process has been updated for student drivers.<\/p>\n

        Note: The Driver Authorization process must be renewed annually.<\/p>\n
